About this opportunity

This is an exciting opportunity to work in an established HR team. The HR Apprentice will support the People Team in the provision of a high quality, efficient HR service for Six Town Housing ensuring that all employees have a great experience.

Key responsibilities

Recruitment / Onboarding
• Support the People Team in the recruitment of employees
• Place vacancy advertisements and respond to communications from candidates
• Ensure our website provides accurate information on vacancies and that relevant documents on the vacancies page are up to date by liaising with the marketing department
• Track applications, prepare shortlisting packs and invite candidates for interview
• Apply for references
• Produce and issue interview packs
• Support interview arrangements on the day, greet candidates and photocopy ID and other documents and oversee any practical tests or assessments
• Check and process Disclosure and Barring Service (DBS) applications.
• Administration of new starter paperwork for the successful candidate.
• Ensure all new support staff are issued with appropriate induction documentation
• Ensure that all recruitment documentation for unsuccessful applicants is confidentially destroyed in line with our retention policy and the general data protection regulations
• Support our external employer brand through social media/ our website etc
• Hold Inductions and ensure all essential paperwork is completed

Absence Management
• Ensure all absence is logged and return to work forms are completed and saved on an individual’s personnel file
• Highlight to the People Team when individuals reach trigger points in line with the sickness absence procedure
• Draft and send letters to confirm maternity, paternity, adoption and other leave as required

Employee Records
• Ensure that all other employee records in our database are accurate and updated when required
• Update electronic staff files
• Carry out vehicle license and insurance checks when required

Operational HR
• Answer and deal with day to day enquiries (both internal and external) in a timely and efficient manner
• Deal with incoming email, post and other paperwork
• Assist the People Team in the administration of new starters, leavers and variations to contract
• Ensure all settling in period ‘check in’s’ are suitably diarised and that confirmation letters are produced once and individual has completed their settling in period successfully
• Support the preparation of documentation for internally promoted staff.
• Provide and complete information for external reference requests from Six Town Housing
• Take minutes at meetings where required
• Assisting with other HR projects where required.

Payroll
• With the People Team, ensure that regular, consistent and timely information is communicated to the Payroll Team at Bury Council.
• Process mileage and overtime claims

Continuous Professional Development
• Under the guidance of the Business Manager People & Culture, identify and complete regular and relevant CPD and training
• Complete the HR apprenticeship course ensuring all deadlines are met and all learning sessions are attended
• Maintain an up to date awareness of current employment law and HR best practice
• Carry out other HR improvement projects as directed by the Business Manager People & Culture

• Work flexibly to meet the Six Town Housing requirements including on occasion working in other departments as directed by your line manager
• Comply with all our policies and procedures. Within these boundaries, employees are expected to use initiative to resolve problems and address issues
• Ensure the quality standards and performance measures applying to your area of work are met and facilitate continuous improvements in all aspects of the post
• Maintain a safe environment by working within Health & Safety guidelines and being aware of your responsibilities for health and safety
• Comply with GDPR and data protection legislation and relevant policies and procedures where applicable

• Participate in performance feedback and undertake further training as needed to ensure up to date knowledge and implementation of best practice
• Ensure the HR System is kept up to date

• Undertake any other duties and tasks appropriate to the grade and character of work as may reasonably be required

What you should have to apply

• GCSE English and Maths A*-C/9-4

Skills

• Experienced at using technology within your role, especially Microsoft Office. Use of a HRIS would be advantageous
• A background in administration
• Organised and can keep to deadlines
