About this opportunity

An exciting role providing front of house support to a busy Dean’s Office, within the Faculty of Humanities at The University of Manchester . The successful applicant will provide clerical and administrative support for a range of activities.

To provide a welcoming and effective reception service including all associate duties of running this service. This may include:

• Positively and pro-actively welcoming all visitors to the Dean’s office
• Liaising with faculty leadership executive assistant team to coordinate meetings and visitors
• Ensuring guests are fully accommodated on arrival with refreshments
• Provide an exceptional standard of customer care to all visitors to the Dean’s Office
• Act as the primary contact for the estates team when accessing the building

Work alongside colleagues across the Faculty Office, providing support where required, across a broad range of business and administrative support. This may include:
• Photocopying, printing, and ensuring papers are ready for members of senior leadership
• Ordering office supplies and ensuring levels are stocked, as required
• Arranging meetings, including booking rooms, and taking necessary meetings notes
• Data collection/collating responses as required
• Preparing presentations, and gathering information for briefing documents
• Supporting financial administration on key tasks and actions
• Administering internal annual leave system
• Support with administrative tasks for the academic staff development program such as updating registration lists etc
• Any other duties as required by the executive team
• Log with the estates team any issues relating to the maintenance of the faculty office buildings, and liaise with them to ensure colleagues are notified of remedial works

Undertake work in areas of compliance required by the faculty to meet its obligations, including supporting colleagues to ensure the faculty complies with its Health & Safety regulations. This may include
• Ensuring signage is in place
• First aid resources are ordered and in situ
• Conduct site inspections, as required, and ensure remedial action takes place
• Procuring equipment and managing distribution, as required
• To maintain confidentiality of information in line with data protection requirements and University Policy
• To comply with University Health and Safety requirements
• Provide ad hoc administrative support to other teams within the faculty, when required
• This role will primary be situated on campus, due to the nature of the work required from the role
