Havas Lynx Group is a global healthcare communications agency with offices in Manchester and London. They are seeking an Apprentice HR Administrator to work closely with the HR Team to provide administrative support on a day to day basis.
A normal day would include:
HR Operations
• Effectively manage absences by ensuring records are captured correctly, and return to work forms are completed on time, flagging anything of concern to the Senior HR Business Partners
• Compile and send accurate monthly reports to the HR team
• Provide day to day guidance on employee relations queries, escalating to the Senior HR Business Partners where appropriate
• Help process any changes to the systems, ensuring all relevant information are captured in time for Payroll
• Ensure processes are completed and recorded for family friendly leave and any other types of absences such as sabbaticals
• Ensure the HR system is kept up to date and any necessary updates are carried out in a timely manner
• Conduct exit interviews and help spot any trends and patterns from the data
• Schedule six-week update and three-month review meetings for new starters with the relevant people
• Schedule formal appraisals for employees with the relevant people. Gain feedback from the individual’s colleagues across the business ahead of each appraisal and ensure this is relevant, balanced and constructive
• Accurately manage team member’s access to company benefits
• Work collaboratively and independently within the HR team to continually identify any processes and procedures that require improvement and development
Performance review process
• Schedule six-week update and three-month review meetings for new starters with the relevant people
• Schedule formal appraisals for employees after six months with the business and an annual appraisal thereafter
• Gain relevant, balanced and constructive feedback from the individual’s colleagues across the business ahead of each appraisal. Push back on feedback where needed to ensure thorough and balanced comments are provided
• Compile and send a monthly performance meeting report to the wider HR Team
Broader HR
• Maintain awareness of Employment Law and other relevant legislation updates
• Proactively suggest improvements for any HR systems or processes
• Maintain an awareness of issues employees face and act on these appropriately, appreciating when it is appropriate to involve the HR Managers
• Manage daily sickness, ensuring an accurate record is kept and return to work forms are completed
• Compile and send a monthly sickness report to the HR Team and Company Directors
• Ensure processes are completed and recorded accurately e.g. maternity, paternity, promotions, leavers
Administration
• Ensure a systematic and efficient filing system is maintained
• Ensure Cascade and TalentSpace are kept up to date and any necessary updates are carried out in a timely manner
• Accurately manage employee access to company benefits e.g. ensuring people are added to / removed from appropriate benefits
• Manage the relationship with the onsite Financial Advisors. Ensure awareness of the service internally and manage the scheduling of appointments
Understanding the agency
• Develop strong working relationships with all relevant departments and wider team members
• Work closely with the Finance Team ensuring they receive accurate information for payroll
• Support the #LYNXLife Team in driving the company culture. Act as a Brand Ambassador and ensure the benefits are shared appropriately
Self-development
• Proactively pursue self-development and training opportunities within the Agency
• Assume joint responsibility with the SHRM for regularly reviewing your performance and progress towards personal development

• 5 GCSE’s grade 4/C or above or level 2 equivalent including Maths and English
