About this opportunity

A local Housing Association are looking for a keen HR Apprentice to act in a support role for the wider HR team, by providing an efficient and streamlined HR administration service covering all aspects of the employee lifecycle.

A normal day would include:

HR Systems Administration
• Ensure the HR system is updated and information is inputted accurately and in line with agreed processes and procedures.
• Respond to and resolve queries relating to the HR system.
• Ensure the HR system work flows are up to date and fully utilised.
• Ensure that the HR system is used to its full capacity by developing new work flows, producing reports and developing new screens.

Administration
• Ensure that all people related administration is accurate and up-to-date.
• Develop and improve existing people processes; to use technology to drive efficiencies in how people administration and processes are managed.
• Manage purchase orders and invoices in a timely and accurate manner.
• Manage the ‘Human Resources’ email box and act as the first point of contact for the team, escalating issues to the People and OD Advisor as required.
• Provide guidance and support on people administrative matters to colleagues.
• Ensure all people records are maintained and updated in accordance with Data Protection legislation.

Coordination
• Support the wider team with effective administration.
• Liaise with managers to collate, provide and maintain records, ensuring the HR system is up to date.
• Support the team with redeveloping the People & OD intranet pages (in Sharepoint), maintaining the pages so that they are always up to date.
• Support recruiting managers by coordinating job advertisements (internally and externally), coordinating recruitment though JJH’s website and working with the P & OD team and JJH’s external recruitment provider to maintain accurate vacancy descriptions, Job Descriptions and Person Specifications.
• Maintain recruitment statistics to support the P&OD team to make decisions about cost effective recruitment and selection methods.
• Play a key role in ‘onboarding’ new colleagues by ensuring the recruitment process is professionally managed by supporting the P & OD team in coordinating JJH’s induction programme for new starters.

What you should have to apply

Essential
• 5 GSCE at Grade C (4) or above including English, Maths or equivalent qualifications

Desirable
• Qualification in Business Administration

• Impeccable attention to detail.
• Excellent verbal and written communication.
• Good influencing skills and ability to ‘manage upwards’ to ensure processes are adhered to, appropriate actions are taken and deadlines are met
• Diligent and hardworking

Skills

Essential
• Previous administration or customer service experience.
• Ability to build relationships with people at all levels of seniority.
• Ability to juggle multiple deadlines, prioritise tasks and deliver accurate work on time
• Enthusiasm in using computers and the Internet
• Proficient user of Microsoft Office applications

Desirable:
• Experience of using a HR/Payroll system/database to input data, produce reports
• Experience of using Cascade HR systems or similar
• Experience of developing brand new HR processes and implementing them within a HR/LD team
• Experience of producing content on Sharepoint
• Experience of using Survey Monkey
